Effective Date: This Policy is continuously in effect from 01 October 2025 and applies to all services and interactions from that date forward.
Easy VEP (“we,” “us,” or “our”) is committed to protecting the privacy of your personal data in compliance with the Singapore Personal Data Protection Act 2012 (the “PDPA”) and its regulations. This Privacy Policy outlines how we manage, collect, use, and disclose your Personal Data.
By accessing our website, engaging our services, submitting a permit application, or otherwise interacting with us, you acknowledge that you have read and understood this Policy and consent to the collection, use, and disclosure of your Personal Data as described herein.
1. Personal Data
“Personal Data” refers to any data, whether true or not, about an individual who can be identified either from that data or from that data and other information to which we have or are likely to have access.
The types of Personal Data we may collect from you include, but are not limited to:
- Identity Information: Full name, NRIC/Passport/FIN number, date of birth, gender.
- Contact Information: Address, email address, telephone number, mobile number.
- Vehicle Information: Vehicle Registration Number, Vehicle chassis number, make, model, and other related details required for the permit application.
- Financial Information: Payment details (e.g., credit card information, bank account details) necessary for processing payments for our services and permit fees.
- Application-Specific Data: Details required for the specific vehicle permit (VEP, Autopass, etc.) including supporting documents and declarations.
2. Collection of Personal Data (Notification and Consent)
We generally collect Personal Data in the following ways:
- When you submit an application form for any of our services, online or in person.
- When you interact with our staff, including via telephone calls, emails, or messaging apps.
- When you use our website or online portal (e.g., through cookies).
- When you submit queries, requests, or feedback to us.
- When you voluntarily provide your Personal Data to us for any other reason.
- When we receive your Personal Data from third parties (e.g., your authorised representatives, government authorities, or business partners).
We notify you of the purposes for which your Personal Data will be collected, used, or disclosed on or before the time of collection. Your engagement of our services and provision of your Personal Data signifies your consent to the collection, use, and disclosure of that data for the purposes stated in this Policy.
If you provide us with Personal Data relating to a third party (e.g., a co-owner of a vehicle), you confirm that you have obtained the consent of the third party for the collection, use, and disclosure of their Personal Data by us for the purposes set out in this Policy.
3. Purposes for Collection, Use, and Disclosure (Purpose Limitation)
We collect, use, and disclose your Personal Data solely for purposes that a reasonable person would consider appropriate in the circumstances and for which consent is obtained. These purposes include:
- To process and manage your vehicle permit application (e.g., VEP, Autopass, etc.) with relevant Singapore government authorities and agencies, including but not limited to the Land Transport Authority (LTA) and Immigration & Checkpoints Authority (ICA).
- To process payments for our services and any associated government fees.
- To communicate with you regarding your application status, updates to regulations, or service changes.
- To respond to your queries, feedback, and requests.
- To verify your identity for processing transactions and providing our services.
- To comply with legal and regulatory obligations (including but not limited to the PDPA and any requirements of Singapore government agencies).
- For internal record-keeping, administrative purposes, and data analysis to improve our services.
- To send you marketing and promotional materials about our services, only if you have provided your explicit consent for this purpose (see Section 6: Withdrawal of Consent).
4. Disclosure of Personal Data (Transfer Limitation)
We will take reasonable steps to protect your Personal Data against unauthorised disclosure. Subject to the PDPA, your Personal Data may be disclosed for the purposes listed above to the following third parties:
- Governmental and Regulatory Authorities: Such as the LTA and ICA in Singapore, as required for processing your vehicle permit application.
- Service Providers/Data Intermediaries: Third-party vendors, agents, and other organisations we engage to perform services for us, such as payment processors, IT service providers, and postal/courier services.
- Professional Advisors: Our lawyers, auditors, and professional consultants.
- Any other party to whom you authorise us to disclose your Personal Data.
Transfer Limitation: If we transfer your Personal Data outside of Singapore, we will take reasonable steps to ensure that the recipient organization is bound by legally enforceable obligations to provide a standard of protection to the transferred Personal Data that is comparable to the protection under the PDPA.
5. Access and Correction (Accuracy Obligation)
You have the right to request access to and correction of your Personal Data held by us.
- Access: You may request a copy of your Personal Data that is in our possession or control and information about how your Personal Data has been used or disclosed in the year preceding the date of your request. We may charge a reasonable fee for processing an access request.
- Correction: You may request us to correct an error or omission in your Personal Data. We will make reasonable efforts to ensure your Personal Data is accurate and complete during collection or when making a decision that affects you.

6. Withdrawal of Consent
The consent that you provide for the collection, use, and disclosure of your Personal Data will remain valid until such time it is withdrawn by you in writing.
- You may withdraw consent and request us to stop collecting, using, and/or disclosing your Personal Data for any or all of the purposes listed above by submitting your request in writing to our DPO.
- Depending on the nature and scope of your request, we may not be in a position to continue providing our services to you, and we will notify you of the likely consequences (e.g., termination of the service) before completing the processing of your request.
- Withdrawal of consent will not affect our right to continue to collect, use, and disclose Personal Data where such collection, use, and disclosure without consent is permitted or required under applicable Singapore laws.
7. Protection and Retention (Protection and Retention Limitation Obligations)
- Protection: We will implement and maintain reasonable security arrangements to protect your Personal Data, whether in electronic or hardcopy form, to prevent unauthorised access, collection, use, disclosure, copying, modification, disposal, or similar risks.
- Retention Limitation: We will retain your Personal Data only for as long as it is necessary to fulfil the purpose for which it was collected, or for our legal or business purposes. Once retention is no longer necessary, we will cease to retain the Personal Data or securely dispose of it.
8. Data Breach Notification
In the event of a data breach that is likely to result in significant harm to affected individuals, or is of a significant scale, we will take steps to assess if it is a notifiable data breach and will notify the Personal Data Protection Commission (PDPC) and the affected individuals in accordance with the PDPA requirements.
