These Terms and Conditions of Service (“Terms”) govern your access to and use of the services provided by Easy VEP (“Easy VEP,” “we,” “us,” or “our”), an independent firm specializing in facilitating vehicle permit applications for Singapore, including Vehicle Entry Permit (VEP) and Autopass Card applications.

By engaging Easy VEP’s services, accessing our website, or submitting any application materials to us, you are entering into a legally binding agreement and agree to be bound by these Terms. If you do not agree with any part of these Terms, you must not use our services.

1. Description of Service

1.1. Application Facilitation: Easy VEP provides professional administrative and facilitation services related to the preparation, review, submission, and monitoring of vehicle permit applications (such as VEP and Autopass) to the relevant Singapore and Malaysian government authorities. This includes, but is not limited to, the Singapore Land Transport Authority (LTA) and Immigration & Checkpoints Authority (ICA), and the Malaysian Road Transport Department (JPJ) and other relevant Malaysian transport authorities.

1.2. No Guarantee of Approval: You acknowledge that Easy VEP is an independent service provider and is not a government agency. We do not issue, grant, or approve VEPs, Autopass cards, or any other permits. Approval or rejection of any application is at the sole discretion of the relevant government authority.

1.3. Government Fees: Our service fees are separate from and do not include any mandatory government-imposed fees, charges, deposits, or taxes (e.g., VEP fees, Reciprocal Road Charge, toll charges). We will collect these government charges from you to pay them on your behalf.

2. Customer Obligations

2.1. Accuracy of Information: You warrant that all information, documents, and data you provide to Easy VEP for the purpose of your application (including but not limited to vehicle details, identification documents, and ownership proof) are true, accurate, complete, and up-to-date.

2.2. Indemnification: You agree to indemnify and hold Easy VEP harmless from any liability, fines, penalties, or losses resulting from any false, inaccurate, or misleading information or documents you provide, or from your failure to comply with any Singapore or Malaysian laws or permit conditions.

2.3. Timely Submission: You are responsible for providing all requested documents and information in a timely manner to allow Easy VEP to meet government submission deadlines. Easy VEP is not responsible for delays caused by your failure to provide information promptly.

3. Fees, Payments, and Refunds

3.1. Service Fees: Our professional service fees are outlined on our website or provided to you in a written quotation. All fees are quoted in Singapore Dollars (SGD) unless otherwise specified.

3.2. Payment: All fees, including Easy VEP’s service fees and estimated government charges, must be paid in full prior to the commencement of the application submission process.

3.3. Non-Refundable Service Fee: Easy VEP’s service fee is for the professional work performed in preparing and submitting the application, irrespective of the outcome. Therefore, our service fee is non-refundable once the work has commenced (defined as receiving your documents and starting the application compilation).

3.4. Refundable Government Charges: If your application is rejected before submission to the government authority, any government charges collected on your behalf (which have not yet been remitted) will be fully refunded. If the application is submitted but later rejected by the government, the refundability of government charges depends entirely on the policy of the relevant government authority.

4. Limitation of Liability

4.1. Extent of Liability: Easy VEP shall not be liable for any indirect, incidental, special, or consequential damages, including loss of profits, data, or goodwill, arising out of or in connection with the use of our services.

4.2. Maximum Liability: Easy VEP’s total liability to you for any claim arising out of or relating to these Terms or the services provided, regardless of the cause of action, shall be limited to the amount of the professional service fee paid by you for the specific service in question.

4.3. No Liability for Government Action: Easy VEP is not liable for: a. The rejection, suspension, delay, or cancellation of any permit by a government authority. b. Any failure on your part to comply with the terms and conditions of the granted permit (e.g., conditions of entry, exit deadlines, payment of outstanding charges). c. Any changes in government regulations, policies, or fee structures that may impact your application.

5. Privacy and Data Protection

5.1. PDPA Compliance: We adhere to the requirements of the Singapore Personal Data Protection Act 2012 (PDPA). The collection, use, and disclosure of your Personal Data are governed by our Privacy Policy, which is available on our website.

5.2. Data Use: You consent to us collecting, using, and disclosing your Personal Data to relevant government agencies (LTA, ICA, JPJ, etc.) and third-party service providers (e.g., payment processors) solely for the purpose of providing the services requested by you.

6. Intellectual Property

The content on the Easy VEP website, including all text, graphics, logos, and service marks, is the property of Easy VEP and is protected by copyright and intellectual property laws. You may not reproduce, copy, or distribute any part of the website or its content without our prior written consent.

7. Governing Law and Dispute Resolution

7.1. Governing Law: These Terms and Conditions shall be governed by and construed in accordance with the laws of the Republic of Singapore.

7.2. Dispute Resolution: Any dispute, controversy, or claim arising out of or relating to these Terms shall be subject to the exclusive jurisdiction of the courts of Singapore.

8. Changes to These Terms

We reserve the right to revise these Terms at any time by updating this posting. The revised Terms will take effect immediately upon posting on our website. Your continued use of the Easy VEP services after any such changes constitutes your acceptance of the new Terms.
